Due to the high volume of rental requests, we will be handling all rental applications via Facilitron only. Requests will not be granted via email or over the telephone. 

To ensure your event runs smoothly, all rental requests must be submitted AT LEAST 31 days in advance of the first desired rental date. We are unable to approve any requests submitted less than 31 days before the desired rental date.
Renting the McAfee Center

  1. Please review and familiarize yourself with the guidelines contained in Board Policy and Administrative Regulation 1330 - Use of Facilities. Please also review our Fee ChartTechnical Information Package and the Technical Information page on our website so that you are familiar with McAfee Center and what the facility rental does and does not include. To find out what dates are available and to submit a rental request, please visit our online booking system Facilitron at www.facilitron.com/lgsuhsd95030. Due to the high volume of rental requests, we are accepting rental inquiries via Facilitron only. 
     
  2. Please know that submitting a rental request does not confirm your date. Your date is only confirmed once the theatre manager has approved your rental on Facilitron. An approved Facility Use Agreement may be revoked if a school group needs the facility. Every effort will be made to avoid changes. 
     
  3. While requesting a rental on Facilitron (www.facilitron.com/lgsuhsd95030), you will need to do the following:
    • Select all times you will need the McAfee Center for rehearsals, set-up, technical work, performance, clean-up, etc. The doors to the McAfee will not open until the times you have selected for your rental and if your group leaves the McAfee later than your original rental end time, you may be charged extra fees for the use of the facility and personnel.
       
    • When filling out the reservation details on Facilitron,  please be as detailed as possible. The more complete the information you give us, the better we will be able to accommodate your needs.
       
    • McAfee Center House Policies Agreement. Please download, read and sign this agreement. Upload the signed agreement to Facilitron.
       
    • Upload a copy of your certificate of 501(c)(3) tax-exempt status if you are a registered non-profit organization.
       
    • Pay a non-refundable application fee ($42) via credit card or in the form of a check. If you are paying via check, Facilitron will send you an invoice with information on mailing address and who to make the check out to.
       
    • Your full deposit ($500) via credit card or in the form of a check. If you are paying via check, Facilitron will send you an invoice with information on mailing address and who to make the check out to.(Once your event has completed, your deposit will be returned to you, provided no additional charges have been incurred.)

Once your rental request has been approved on Facilitron, you will be responsible for submitting the following within thirty days: 

  1. Your full payment via credit card on Facilitron or a check. If you are paying via check, Facilitron will send you an invoice with information on mailing address and who to make the check out to.
     
  2. A copy of your General Liability Insurance, with the verbiage "Los Gatos-Saratoga Union High School District, its trustees, employees and agents, and the State of California" as additional insured, with coverage for $1,000,000 for the dates of your event (including rehearsals). This policy shall not be amended, canceled or modified and the coverage amounts shall not be reduced until notice has been mailed to the District. Date of amendment, modification, cancellation or reduction may not be less than thirty (30) days after the date of mailing notice.

Cancellation PolicyAll cancellations or changes of schedule must be received in writing not less than seven calendar days prior to the first day of the event. An approved Facility Use Agreement may be revoked if a school group needs the facility. Every effort will be made to avoid changes. In the event of a cancellation, the application fee and deposit will not be refunded. Refunds will be determined based on when we receive written notice according to the following schedule:

           31 days or more prior to first day of event = Full Refund of Rental Fee, less Deposit and Application fee

           15 to 30 days prior to first day of event = 75% of Rental Fee Refunded, less Deposit and Application fee

           8 to 14 days prior to first day of event = 50% of Rental Fee Refunded, less Deposit and Application fee

           7 days or fewer prior to first day of event = Damage Deposit Only Refunded
Notes

There is a minimum $500 deposit for all rentals.  For multi-day events, additional deposit may be required.  The deposit will be returned to you after your event, provided no additional charges have been incurred.

Payment in full of both the deposit and the rental fee is required before your event is confirmed. Failure to pay in a timely manner may result in the loss of your reservation.

The McAfee is not available for rental between 11:00pm and 7:00am

Any day during which an event is held which is attended by an audience, or which is recorded is deemed a PERFORMANCE DAY.  All hours used on a performance day are charged at the performance day rate.
